Minutes of Supporters Club Meetings
Committee Meeting 26th January 2012 In attendance: Rebecca Doyle, Joe Moorehouse, Elaine Colfer, Chris McCleane, Jennifer Miller, Stan Fox. Stan provided a detailed walk through and explanation of what required to change signatures on the Permanent TSB bank account and to get funds from the old NIB account. Was decided that Elaine and Jennifer would become the new signatures with Elaine to prepare letters for both bank accounts. Rebecca Doyle was appointed membership secretary Player of the month to be continued, Jennifer to carry with ordering trophy. For March any person will be allowed vote on player of the month but from April on only SC members will be allowed to vote. Supporters club will have some pages in the program this year some ideas suggested for content where: • Introduction of new club liaison officer role • Advertisement of membership, buses or any SC event and/or offers • Competitions • Meet the squad Chris to prepare a piece on his new role. Jennifer to prepare questions for meet the squad. Other items will be finalised at next meeting. Possible prizes for any competitions where discussed with Chris to bring some of the item to the club for clarification Competition ideas where discussed for example word search, spot the ball, spot the difference, youth quiz Supporters club to attempt to get sponsorship Golden goals to carry on with Joe to price new and different types Cool boxes – to continue this year with Jennifer taking first team and under 19’s Elaine Was agreed that there would be a 72 hour deadline to replying to emails about the committee. If answer required quicker email/text Elaine to send out webtext Chris asked could his 5 a side team use SC club crest on jersey for competition. Was voted with 4 for and none against Chris absented from voting Membership price was discussed. Agreed to keep the same with five year membership back on offer with prices being Adult €45, Under 16 / Students € 20 Family (2 Adults/2 children u16) €80 Was agreed that next meeting would the week of the 6th of February with night and venue to be confirmed Wexford Youths FC Official Supporters Club AGM Meeting was held in the Maldron Hotel on Tuesday 24th January 2012 An introduction was provided the Peter Crimmings. Peter provided a review of the year Despite on field issues the Supporters Club had a successfully year off the pitch. The highlights of the achievements of the year where • 63 members in the SC this year, membership needs to pushed more this year • Cool boxes for the under 19 and senior teams. • Media team made great strides with providing coverage of the Youths media team throughout the year include Jennifer Miller, Chris McCleane, Peter Crimmings, Elaine Colfer and Shane Marron. • New website was launched • Club shop – SC help run the club shop. All older SC gear was sold. New badges and patches where ordered. • Shop will be moving inside the building hopefully in time for new season with any donation by SC for the shop being matched by the club to help with renovations. • SC and players part took in opening of Children’s gym in Active club in the Maldron Hotel • Ran a quiz night • First annual end of season awards night o Largest event of year o Players returned even though held after season o Attendance needs to be worked on o Committee learned some items about promotion of such events and to help encourage all those in attendance to mix. The new format of the committee worked well. • Some discussion did take place on the format of committee with no one in attendance objecting to current format being kept with. However the committee was cut from 7 to 5. • Pointed out that more volunteers other than committee required. For example on match day hanging up and taking down flags. There is now a SC liaison officer Chris McCleane. Chris will be responsible for bringing ideas, suggestions complaints etc directly to the club and provide a voice for the supporters of WYFC to the club. Chris must attend one club meeting a month Finance report was provided by Stan Fox, with the SC having a successfully financially year. Stan pointed out that the signatures on the NIB back account. Still money in old Permanent TSB account, new committee will need to work on accessing funds. Currently the SC and the official website are joined under one address. An idea was put forward to rename supporters club to something more catchy and to separate websites. Perhaps a competition to be run to rename with different prizes on offer. New committee to look at in more detail and possible knock on effects. Fundraising Ideas Terry Cooke suggested that supporters club and players partake in the Jhonny Giles charity walk/run on the 7th May. Was stated that club taking part in 10K run in Enniscorthy on the 12th of February but additional events could be looked at Under AOB Etihne Fox highlighted that club has material to make additional Ireland/Wexford Youths flags. Committee to decide was flags designs maybe by running competitions etc. suggestions/ideas welcome on best way to use flags. One suggestion was a flag for the under 19’s. All of items suggested below during discussions of AOB would more under the remit of the Official Club rather than the Supporters Club but the suggestions will be brought to the club. • Half time entertainment mini games etc • More publicity for the club radio, papers return of posters for supporters to hang up in their locality. • Advertisement that the club is wheelchair accessible • Publicity of the players in the local area In attendance James Brady, Aoife O’Connor, Shirley O’Connor, Dermot McCarthy, Joe Moorehouse, Jennifer Miller, Rebecca Doyle, Elaine Colfer, Eithne Fox, Stan Fox, Pat Ronan, Tom Dunne, Marshall Beckett, Chris McCleane, John McCleane, Terry Cooke, Peter Crimmings. Wexford Youths Supporters Club meeting 5th May 11 Role of secretary: Eithne Fox Members in attendance: Jennifer Miller, Elaine Colfer, Joe Moorehouse, Shane Marron and Peter Crimmings Absent: Katie Duggan Peter: Supporters Club Flag and Banner ordered. Agreed to subsidise Supporters club member’s Flags by a minimum of 20% of price of flag. Watch out for Stan’s new Flag. Order flags through Peter. Club Hats and Scarves ordered should sell well in Club shop. Badges – waiting on suppliers to get back. As Club Media officer Peter is now receiving info direct from FAI. Money for Michael Gray Buses given to Peter to deliver. Peter and Eithne organise Cool box of Fruit, Jaffa cakes and tape for socks, for players every match. Working well Players have expressed appreciation. Club phone Elaine to get cheap phone. Buses would like to run to most away games, but need them full . Put up poster next home game get names interested. Website updated with list of coming away games – visitors can indicate their choice of games they plan to travel to – helping plan and cost trips. Fun day needs meeting to organise. Committee meeting Monday 16th May Maldron 7pm. Full Supporters members meeting later. Hoped to get Kevin Doyle to Officially launch Club shop. Code of Conduct: Peter and Elaine looking into it. Media: Photo’s from Sean Dempsey great when we get them. Web site: Squad photo would be good. Interviews Shane did a great job but need more. Team needs to organise getting pre Match and Post Match interviews. Need at least two people to do interview. Need someone to Video games. Advertise on website and possible in papers for someone. Media team to arrange meeting themselves. Golden goals going okay covering cost. Quiz night possible date 9th Jun 11 Maldron maybe raffle players to join teams. Discuss at meeting on 16th May 11. Shane to look into mixing CD’s for Match nights. Supporters Hut needs reorganising. ------------------------------------------------------------------------------------------------------- Wexford Youths Official Supporters Club Meeting 7/4/11 Attendants: Joe Moorehouse, Jennifer Miller, Elaine Colfer, Eithne Fox. Role of Secretary: Jennifer Miller • Code of Conduct- To be discussed at the next meeting. • Maldron Hotel – Elaine is to arrange for a pink jersey to be signed and presented to the Maldron Hotel. • Cool Box – The Supporters Club have purchased a cool box for the players the contents included fruit, Jaffa cakes and tape for socks, it will be giving to the team prior to all games home and away. • Club Shop- When Peter returns the committee will discuss the stock levels within the shop and the purchasing of hats & pin badges. • Lucozade- Player still haven’t received any- Elaine to contact Myles in office and if no response to contact the local rep from Lucozade. • Events- Elaine to look at the current fixture list and take out some dates suitable for events such as Table Quiz, Family fun day etc and the committee will discuss the dates at the next meeting. • Away day buses- The committee spoke about the cost of running buses to away games and suggested at a price increase, to maybe €15 per adult & €7 per U-16, this issue will be discussed in full at the next meeting. • Player of the Month- The Supporters Club decided on presenting a Player of the Month award at the end of each month to the overall winner of the vote which will be open to Members of the Supporters Club, Jennifer is to contact Crystal Script, Final details will be discussed by email between the committee during the weekend • The next meeting has been set for Thursday the 5th of May at 7.30 pm ------------------------------------------------------------------------------------------------------- AGM 3rd February 2011 Maldron Hotel Wexford Role of Chairperson: Elaine Colfer Secretary: Katie Duggan 13 members in attendance The topics of discussion for the meeting were as follows Review of 2009 and 2010 Annual Reports Merchandise left in the Supporters Club Hut and also Equipment used by Supporters Club last year (Mobile phone, laptop etc) Introduction of a Code of Conduct A decision was made between all people present to elect an executive committee of 7 to act on behalf of the Supporters Club (majority vote). The committee members are as follows: o Peter Crimmings o Elaine Colfer o Katie Duggan o Jennifer Miller o Joe Moorehouse o Shane Marron
o Eithne Fox
The executive committee is to meet the first Monday of every month and open meetings will be held at intervals during the season in which other supporters may express their views and opinions to the executive committee.
Roles of Chairperson and Secretary will be allocated on the day of the meeting and will alternate between all committee members.
In addition to the committee a decision was made to have a separate Treasurer/Financial Office Stan Fox was elected to this position, with Peter Crimmings to be the authorised cheque signer.
It was also decided that a change of banks would occur and the new bank to deal with all Supporters Club transactions was to be Permanent TSB.
A redesign of both the Supporters Club website and the Official Wexford Youths website is to be done by Elaine Colfer and Peter Crimmings with new ideas for a forum and also a kid’s corner.
A decision was made to purchase new flags for the Supporters Club and ideas for people to design their own flags were discussed.
A decision was also made to examine the purchase of new training gear and other items of merchandise.

* Examine ways to get information with regards to the Supporters Club distributed amongst members in an effective way Members in attendance: David Wright, James Brady, Stan Fox, Eithne Fox, Shane Marron, Paddy Byrne, Myles Vardy, Rebecca Doyle, Joe Moorhouse, Jennifer Miller, Katie Duggan, Peter Crimmings & Elaine Colfer ------------------------------------------------------------------------------------- Wexford Youths Supporters Club meeting 7/2/11 Role of secretary: Jennifer Miller Members in attendance: Jennifer Miller, Elaine Colfer, Joe Moorehouse, Eithne Fox, Shane Marron and Peter Crimmings Absent: Katie Duggan It was brought to the attention of the members present that the Supporters club and stewards are similar regarding issues on match days. This was discussed and the committee agreed to send forward 3-4 people to meet with the event co-ordinator (Simon Aust) and 2 or 3 stewards to see if matters can be dealt with between both. Topics to be discussed are; • Students entry to the ground, • PA announcing such as Teams, goals etc, • Controlling language/ abuse from the stand • Getting stand moved to opposite side of pitch A media team was put in place to assist with the gathering of videos, interviews and other match day experiences for the new website. An email is to be sent to Sean O Brien regarding the return of equipment he still has in his possession belonging to the Supporters Club. Sean Dempsey is also to be contacted regarding the use of his photos to be transferred to the new website also Elaine is going to contact the office in Dublin regarding; • Becoming Official Supporters Club, • Running the club shop in conjunction with the Supporters Club shop • The sale of gear and season tickets online Elaine also wants to give Myles Peters number regarding stock issues. Membership is to remain the same as previous years and to be reviewed again next year. Fundraising will be discussed fully in upcoming meeting, some suggestions are • Table quiz • Family Night • Golden Goals • Sponsors • Dinner Dance/ Black tie Peter also suggested that the first away trip to Limerick should be free to members. The Supporters Club also suggested supplying equipment to players such as gloves to Packie as he has to purchase his own at the expense of €150 a pair, supplying drinks & fruit during and at the end of games in the dressing room, Jennifer was to contact Letts of Enniscorthy about purchasing Lucozade sport and Peter to contact a fruit supplier. Information was given of a player having to pay for physio sessions out of the club physio hours the Supporters Club is to look into this matter. This concluded the meeting; the next meeting is fixed for Monday 21st February at 8pm in the maldron hotel. ------------------------------------------------------------------------------------------------- Wexford Youths Official Supporters Club meeting 21/02/2011 Role of secretary: Shane Marron Members in attendance: Jennifer Miller, Elaine Colfer, Joe Moorehouse, Eithne Fox, Peter Crimmings and Shane Marron New Bank Account Stan Fox has paid a cheque from the old supporters club account into his own account, and will then raise a cheque to be paid in to the new bank account, when it has been set up. This is to be done this week with Peter Crimmings and Stan Fox as signatories. A meeting has been arranged with new bank to facilitate this. Meeting with stewarding team (Simon Aust) Simon is still very busy, but there is a possibility of being able to speak to him after the home game with Drogheda Utd on Friday 25th February. Media Team Mick Wallace has given his blessing to the newly formed media team. He has said he will speak to the players and ask them to cooperate. Sean Dempsey has agreed to allow us to use his photos from the old website on the new website. He will also submit his photos to us if he is at Ferrycarrig Park for the game (wont be there if home games clash with those of Waterford Utd). Official Press Passes requested for media team with the club. Supporters Club Equipment Further communication is required to arrange the return of the supporters club equipment from previous committee members. Online Sales The committee are waiting for a response from Miles as to whether we can go ahead with the online selling of match tickets and club/supporters club merchandise. Memberships Supporters club will create laminated membership cards for fully paid members. New membership forms are to be printed before this Friday night's game with Drogheda Utd. These will be left in the supporters club hut and possibly in the upstairs area of the club house. Away Trips The committee has agreed that we will run a bus to Jackman Park on Friday 11th March for the match with Limerick. There are a number of people interested already, and posters will be designed advertising the service for display ASAP (will be visible for games against Drogheda and Monaghan) Team support Jennifer Miller has been in contact with GH Letts and acquired a trade price for the supply of Lucozade Sport to the team. Initially this will be provided for home games (with the permission of team management) along with a case of water. There will also be a discussion with the team captain to see if there is anything else that could possibly be provided. The possibility of providing fruit has been mentioned, and Peter Crimmings will speak to a contact in the fruit industry to see about acquiring a low price. Fundraising Golden Goals will return for Friday's match with Drogheda. For future games, there is the possibility of committee members taking some tickets for sale in the lead up to games in places of work. A summer fun day is in the pipeline incorporating a day of family entertainment with a match in the evening. A table quiz involving the players is looking increasingly likely for some time in the next few months. Printed Fanzine/Newsletter With so much new information and news…a newsletter to be produced for the 1st league game of the season, with a view to producing something similar on a regular basis. Possibility of inclusion of these pages in the official match program also to be examined. ----------------------------------------------------------------------------------------- Meeting 7th March Maldron Hotel Wexford In attendance Peter Crimmings, Shane Marron, Katie Duggan, Jennifer Miller and Elaine Colfer Apologies from Joe Moorehouse and Eithne Fox Meeting was held with Simon Aust Event Controller of Wexford Youths FC Peter and Eithne represented the committee at this meeting. May items where discussed and feedback was provided to both parties as requested. Meeting was held with Mick Wallace Peter represented the committee at this meeting to discuss issues for the upcoming season that may affect the Supporters. The main outcome of this meeting was that the Supporters Club would help sell club merchandise on match day. Currently in stock are new jerseys, jumpers. It was agreed that old stock would be sold in a “bargain bin” It was agreed to order one new banner and one new flag for the upcoming season. Feedback was provided on the bus which successfully ran to Cork and it was agreed to run a bus to Shelbourne depending on demand. It was agreed that the Twitter account would become the official account for the Supporters Club to be run by Ian O’Neill Player’s feedback was provided when the player profiles where being completed. Based on this feedback a decision was made to look at buying gear bags for the players and the possibility of having some bags available for purchase It was agreed that the next meeting would be held on the 4th of April at 8pm in the Maldron Hotel
